Event Assistant Position

Kate Whelan Events is looking for a detail-oriented team player who is self-motivated, works well under pressure and has excellent communication and customer service skills.

Primary Job Duties

  • Assist with the setup of KWE client events, taking guidance from Lead Event Consultant
  • Execute incredibly detailed installation and task lists during execution of event
  • Maintain a calm, cool, demeanor during the entirety of the event, most especially during sometimes stressful situations
  • Meet deadlines quickly by accurately completing tasks in a timely manner on the event day, to ensure event doesn’t fall behind schedule
  • Provide excellent customer service to all KWE clients, their wedding party members, their event guests, and partner vendors

Possible Additional Job Duties

  • Research available vendors that are the best fit for customers based on budget, style, and personality, starting with Kate Whelan Events Preferred Vendors List
  • Schedule vendor meetings and venue tours as necessary with, or on behalf of customers or KWE Event Consultants
  • Create base event itinerary including timeline, setup & vendor contact lists for KWE Event Consultants and setup online planning tools for new clients
  • Confirm itinerary with event vendors prior to event, answer questions and update itinerary as needed
  • Manage social media – make posts, respond to comments, engage with followers, and update SEO
  • Update the website with updated content, photos and galleries for the portfolio
  • Maintain and regularly clean marketing lists and databases


  • 2-3 years of event-related experience
  • part-time, hourly, event-based position, potential for additional “office hours”
  • must be willing to work weekends, as those are typically our event days
  • ability to provide references upon request
  • ability to lift heavy boxes and move items is a must
  • has own reliable licensed and insured transportation
  • we specialize in being the “techy” business in town and use a lot of different pieces of software to operate on a daily basis. Bring able to familiarize yourself quickly with software to use it efficiently will be a huge asset. Previous experience with WordPress, Tave, Aisle Planner, Showit, and/or Adobe Creative Suite would be much appreciated.
  • Understanding confidentiality is important in this role.  This person will have access to clients’ personal and financial information, as well as KWE intellectual property, which may not be shared outside of the company.
